You can use the AI Assistant to help draft an email in Canopy. By doing this, you can save a ton of time while also improving emails' effectiveness.
Note: Though the AI Assistant is an amazing tool, it is just that. A tool. The results will only be as good as your prompt. If you get an output that doesn't suit you, you can always revise your prompt. Your personal touch is essential to write engaging correspondence that resonates with your clients!
Use the AI Assistant in the Global Inbox
1. Go to Inbox in the left sidebar of Canopy.
2. Click Create email.
3. Add Recipients in the To: field and add a Subject:.
4. Click the AI Assistant icon.
5. Select the Draft my email option.
Notice that you must enter info in the Subject, To, and From fields before you can draft your email.
6. Enter necessary keywords and phrases in the What topics should this email cover? field.
Example: You want to email Ms. Devereaux to set up an appointment for May 2nd at 4 p.m. You also want to discuss which payment method she would prefer. She can pay through the Client Portal or she can have you process the payment from your end. To end the message, you want to offer a 5% discount on next year's tax filing if she refers 2 of her friends or family members to your firm.
In this situation, you'll enter the following prompt in the What topics should this email cover? field:
"suggest meeting at 4 pm on 5/2, which payment method they prefer (client portal or we can process), offer 5% discount next year taxes if refers 2 people to firm."
7. Select Submit.
The feature shows loading dots with the message Drafting an email for a few seconds after submitting.
8. The AI-drafted email pops up in the body of the email.
9. If you don't like what the AI Assistant provided, select the AI Assistant icon again to view more options.
Draft my email
Selecting this option brings you back to the same space when you initially drafted the email. You can add or take away information as needed in the prompt field. Doing this replaces the text from the initial draft.
When you opt to rephrase the email, you'll see the AI Assistant loading and a different structure will pop up with the same idea as before.
Make tone friendlier
If you're having an "off" day and aren't coming across as very nice to clients, go for the Make tone friendlier prompt.
Annnd voila! You now come across as the sweetest thing since the invention of Skittles.
Make tone business formal
Choose this option when you want to sound a bit more professional.
Correct grammar and spelling
Not the best at English 101? Maybe English is your second language! Select this option to have the AI Assistant do the proofreading for you.
Once the option finishes loading, you'll see a beautiful, error-free draft.
