eSign requests are useful tools for gathering digital signatures from clients. Signature fields can be added for the practitioner and/or the client to a document located in the files section.
Send eSign Requests From Contact Files
1. Select a contact in Canopy.
2. Click on the Files tab in the client profile.
3. Right-click on a specific file.
- File types that are eligible for eSign include:
- Microsoft Word files
- Microsoft Excel files
- CSV files
- PDF files
- Some forms require a handwritten signature. Be sure to double-check the signature requirements in your state before sending an eSign request to your client.
4. Click eSign request.
Add a Practitioner Signature Field
1. Click My signature.

2. Drag and drop the Signature field to the expected position on the file preview.
- The Initial field and Date field drag and drop the same way.
- Be sure the signature field aligns with where you want the signature to appear.
3. Select a preferred signature style in the popup window.
4. Check the checkbox below the signature.
5. Click Add signature.
If adding an initial or date, click Add initials or Add date.
Add Client Signature Fields
1. Click Recipients.

2. Drag and drop the Signature field to the expected position on your file in the preview window.
- The Initial field and Date field drag and drop the same way.
- Be sure the text in the signature field lines up with the area where the signature appears.
- If needed, drag and drop as many Signature, Initial, and/or Date fields as necessary.
3. Select your client from the Recipient Signature drop-down menu.
- If you have added KBA to this signature field, the authentication icon will display next to your client's name.
- If the client has not been invited to the Client Portal, they will not show in the drop-down menu.
Use Multi-Sign Feature for Multiple Users Under One Email
Multi-sign is a way for multiple clients to sign a document while still using one shared email address. This is an especially useful feature when you have a couple who share the same email address and do not want to create another email so that they both can sign a document!
1. Within the Signature field, select Add new signer.
2. Enter Signer Info and click Add.
3. Repeat steps 1 and 2 for the next signer.
4. Separate emails are sent to the shared email address.
Add Additional Signers to an eSign Request
Be sure to review the info message within the Recipients tab!
Note: If you see this badge with Signer Authentication, this does not mean that you have usable KBA credits.
1. Select from the listed Team Members and Signers.
For longer lists, opt to use the search field rather than scrolling!
2. Alternatively, send eSign requests to outside parties.
To add other individuals to sign, who have not been invited to the client portal, the eSign request is sent via a Secure Link. These links allow other parties to sign documents without the need for client portal access.
- Click Add new signer in the drop-down of the Recipient Signature field.
- Enter the first and last name as well as the email address of the new signer.
- If you'd like to invite the new signer to the client portal, you may do so by selecting the Send client portal invite box.
3. Click Add.

Add a KBA to a Recipient eSign Field
Adding KBA (Knowledge-Based Authentication) to your eSign request field requires your clients to perform an additional authorization step in order to sign the document electronically. If your client fails the authorization step twice, they are given the option of manually downloading, printing, scanning, and uploading the document to fulfill the eSign request. If you have not purchased any KBA credits, the Signer Authentication toggle will not be available and you'll see this:

1. Click the Signer Authentication toggle.
2. The Authentication box will display the number of assigned credits and how many you have remaining on your Canopy account.
Send an eSign Request
After adding the signature field, you will need to send the eSign request to your client.

1. Click Send request on the file preview screen.
2. If needed, edit the title of the request.
Titles will default to eSign request: [File name].
3. Click the Add a due date field.
- Select a date on the popup calendar.
- A due date is optional.
4. Click Add a reminder.
- Select the frequency of the reminder from the Every drop-down menu.
- Select the duration of the reminder from the For drop-down menu.
- Reminders are optional.
5. Click Add.

6. If needed, edit the accompanying message.
7. Click Send now.

Invite a Client to the Client Portal from an eSign Request
If you opted to add a new signer in the Recipient tab, a window will populate with an opportunity to invite them to the client portal. This is not required!
- Simply ensure that the box does not have a checkmark next to the custom signer's name.
- If needed, input a personalized message for the signer.
- If you choose not to invite the custom signer to the client portal, the Cancel Client Portal Invite message will ask if you would like to continue sending the eSign request without sending invites to the portal.
- Select Send eSign request.
- Your client and new signers will receive an email alerting them to the eSign request through a Secure Link.
- A window will pop up displaying the options to return to files or View created task.
- You will have to select an option to close the popup window and continue working in Canopy.
