Archive Contacts
You may choose to archive a contact if they are not being worked with consistently - for example, a tax client that’s active through tax season, and once finished, they are archived until next year.
The nice thing about archiving a client is that all their information is retained until you restore them.
To archive a contact:
- Enter a contact record page for the client you wish to archive.
- Click the dropdown arrow button next to the contact’s name at the top.
- In the menu, select Archive Contact.
You can also do this with multiple contacts with one bulk action as well.
Say you want to archive more than one tax client until next season. Simply select a couple of clients here and then using the bulk action menu, let’s click the one with the box - archive contacts. That’s it!
Restore Contacts
When tax season is back on and you’ll be working with those clients again, you can unarchive or restore them to your contact list.
In the contact list, click the three dots icon and select Archived Contacts.
In this window, you can see which contacts have been archived. Click on Unarchive. That contact will then move back into your contact list.
Delete Contacts
While we are here, let’s talk about deleting contacts.
Contacts can only be deleted after they have been archived - this two-step process ensures you intend to delete a contact because they are not recoverable!
Delete a contact by locating the contact in these three dots menus and click Delete.
