Work Permissions


Create, Edit, and Assign Work

Controls whether users can create, edit, and assign work items in Canopy.

What this permission allows

  • Create:

    • Generic tasks

    • Client requests

    • Organizers

    • Notices

    • eSign requests

    • Subtasks

  • Edit work details

  • Assign work to other team members

Important considerations

  • This permission only applies to users with one of the following licenses:

    • Client Management

    • Tax Resolution

    • Transcripts and Notices

Other permissions affected

  • Turning this permission off automatically disables:

    • Set Task Budgets

    • Send Client Request Tasks

    • Create and Edit Automation Rules

When this permission is turned off

  • The Create Task option is removed from:

    • The blue + button

    • The Tasks list

  • Users can still view existing tasks

  • Users cannot:

    • Edit task details

    • Change task ownership

    • Access the task edit menu


Set Task Budgets

Controls whether users can set or edit budgeted hours on tasks and subtasks.

What this permission allows

  • Set budgeted hours on tasks

  • Edit budgeted hours on subtasks

  • Configure budgeted hours within task templates

Important considerations

  • This permission only applies to users with one of the following licenses:

    • Client Management

    • Tax Resolution

    • Transcripts and Notices

When this permission is turned off

  • The Budgeted Hours field becomes read-only:

    • On existing tasks and subtasks

    • Within task templates"



Generic Tasks

Controls whether users can view and work with generic (non-client-facing) tasks.

What this permission allows

  • View generic tasks the user has access to

  • Be assigned to generic tasks

  • Work within generic task workflows

Important considerations

  • This permission only applies to users with a Workflow license

Other permissions affected

  • Turning this permission off automatically disables:

    • Task Templates

When this permission is turned off

  • Users can still access the Tasks list

  • Users can only see:

    • Client Requests

    • Questionnaires

    • eSign requests
      (including within My Work and client profiles)

  • Users cannot:

    • Create generic tasks

    • Be assigned to generic tasks by others

  • Users can still send client requests



Send Client Request Tasks

Controls whether users can send client request tasks and communicate with clients through those tasks.

What this permission allows

  • Send client request tasks to clients

  • Comment on client request tasks

  • Reply directly to clients from client request tasks

Important considerations

  • This permission only applies to users with a Workflow license

When this permission is turned off

  • Users can still create client request tasks

  • Users cannot:

    • Send client request tasks to clients

    • Comment on client request tasks

    • Reply to clients

  • Users can still:

    • View client request tasks

    • Edit task details such as:

      • Reminder

      • Assignee

      • Priority

      • Status


Tax Organizers

Controls whether users can view and manage tax organizers for clients they have access to.

What this permission allows

  • View tax organizers

  • Manage tax organizers for assigned clients

Important considerations

  • This permission only applies to users with a Workflow license

When this permission is turned off

  • The Organizers tab is removed from the client profile



Change Work Status

Controls whether users can change the status of work items.

What this permission allows

  • Change the status of:

    • Generic tasks

    • Client requests

    • Organizers

    • Notices

    • eSign requests

    • Subtasks

Important considerations

  • This permission only applies to users with one of the following licenses:

    • Client Management

    • Tax Resolution

    • Transcripts and Notices

Other permissions affected

  • Turning this permission off automatically disables:

    • Create and Delete Custom Statuses

When this permission is turned off

  • Task, client request, questionnaire, and eSign statuses are visible but read-only

  • Status fields are disabled when creating a task

  • Subtasks do not display the checkbox used to mark them complete

  • Custom status controls are disabled and cannot be accessed



Create and Delete Custom Statuses

Controls whether users can create or delete custom work statuses.

What this permission allows

  • Create custom statuses

  • Delete custom statuses

Important considerations

  • This permission only applies to users with a Workflow license

When this permission is turned off

  • Users can still change a task’s status

  • Options to add or delete custom statuses are not available


Create and Edit Automation Rules

Controls whether users can create, edit, or delete automation rules for work items.

What this permission allows

  • Create automation rules on:

    • Tasks

    • Task templates

    • Client requests

    • Client request templates

  • Edit existing automation rules

  • Delete automation rules

Important considerations

  • This permission only applies to users with a Workflow license

When this permission is turned off

  • Existing automations remain visible

  • Users cannot:

    • Add new automation rules

    • Edit existing automation rules

    • Delete automation rules

  • Automation options are hidden or disabled when:

    • Creating a task

    • Editing a task or subtask

    • Editing a task template


View Automation Rules

Controls whether users can view automation rules on work items.

What this permission allows

  • View automation rules on:

    • Tasks

    • Task templates

    • Client requests

    • Client request templates

Important considerations

  • This permission only applies to users with a Workflow license

Other permissions affected

  • Turning this permission off automatically disables:

    • Create and Edit Automation Rules

When this permission is turned off

  • Automation rules are not visible on task templates

  • The automation section is hidden when:

    • Creating a task from scratch

    • Viewing or editing an existing task

  • Users cannot add automation rules to task templates



Bulk End Recurrences

Controls whether users can stop recurring tasks in bulk.

What this permission allows

  • End recurrences for multiple primary recurring tasks at once from the Tasks list

Important considerations

  • This permission only applies to users with a Workflow license

When this permission is turned off

  • The Bulk End Recurrence option is removed from the bulk actions menu on the Tasks list



Export Work

Controls whether users can export work data from Canopy.

What this permission allows

  • Export tasks to a CSV, including:

    • Generic tasks

    • Client requests

    • eSign requests

    • Notices

  • Export tax organizers

Important considerations

  • This permission only applies to users with one of the following licenses:

    • Client Management

    • Tax Resolution

    • Transcripts and Notices

When this permission is turned off

  • The Export option is removed from the Tasks list three-dot menu

  • Users can still download completed tax organizer forms


Archive Work

Controls whether users can archive work items, removing them from active task lists and client records.

What this permission allows

  • Archive tasks

  • Remove archived work from:

    • The Tasks list

    • Client records

Important considerations

  • This permission only applies to users with one of the following licenses:

    • Client Management

    • Tax Resolution

    • Transcripts and Notices

Other permissions affected

  • Turning this permission off automatically disables:

    • Delete Work

When this permission is turned off

  • Users cannot archive tasks from:

    • The task three-dot menu

    • Right-click options in the Tasks list

  • Archived tasks are not visible

  • Users can still archive individual subtasks


Delete Work

Controls whether users can permanently delete archived work items.

What this permission allows

  • Permanently delete work items from the archive

Important considerations

  • This permission only applies to users with one of the following licenses:

    • Client Management

    • Tax Resolution

    • Transcripts and Notices

When this permission is turned off

  • Users can still archive tasks

  • Users can still delete tasks
    (Deleting is not fully restricted by this permission in the current behavior.)



View Dashboard

Controls whether users can access the Tasks reporting dashboard.

What this permission allows

  • View the Tasks dashboard and related reporting

Important considerations

  • This permission only applies to users with a Workflow license

When this permission is turned off

  • The Dashboard option is removed



Questionnaires

Controls whether users can view client questionnaires.

What this permission allows

  • View questionnaires on:

    • The Tasks list

    • Client profiles

Important considerations

  • This permission only applies to users with one of the following licenses:

    • Client Management

    • Tax Resolution

    • Workflow

    • Document Management

When this permission is turned off

  • Questionnaires are hidden from:

    • The Tasks list

    • Client profiles

  • Users can still:

    • Create questionnaires

    • Send questionnaires

  • Users cannot view questionnaires they send


Send Questionnaires

Controls whether users can send client questionnaires.

What this permission allows

  • Create and send questionnaires to clients

Important considerations

  • This permission only applies to users with one of the following licenses:

    • Client Management

    • Tax Resolution

    • Workflow

    • Document Management

When this permission is turned off

  • Users can view existing questionnaires

  • Users cannot create or send questionnaires
