Option 1 — Your Firm Runs the Tool:
Provide your Data Migration Specialist with a DocIt login that has full admin access.
Your firm will run the extraction tool and manage the process.
Option 2 — Canopy Runs the Tool:
Invite implementation+{tenant id}@canopytax.com to DocIt with admin access.
Replace
{tenant id}with your firm's Canopy tenant ID (your migration specialist can provide this).
OR, give your migration specialist access to an existing DocIt admin login.
Canopy will manage the extraction and upload process.

Set Up Remote Access (if applicable)
If Canopy is running the extraction tool, you'll need to provide remote access to DocIt.

Prepare Your Migration Plan
Before your migration specialist reaches out, think through these four questions:
1. Password Protected Drawers
Do you have any password-protected drawers in DocIt?
If yes, provide a list of which drawers are protected and note any special access requirements.
2. Volume
What is the approximate number of files in DocIt?
This helps your migration specialist estimate timeline and resources needed.
3. Folder Structure
Do you want files nested under a specific parent folder (e.g., "DocIt Historical" or "Legacy Documents") in each client profile?
If yes, note the parent folder name you'd like.
If no, your current DocIt folder structure will be maintained as-is.
4. Timeline
When do you want to establish your data cut-off date?
This is the date when you'll stop adding new files to DocIt and begin migration.
Coordinate this timing with your firm so no files are added during the extraction process.
Contact Your Migration Specialist
Once you've decided on access setup and thought through the four discovery questions, reach out to your Data Migration Specialist with:
Your selected login option (firm-managed or Canopy-managed) and login credentials
Confirmation of remote access setup (if applicable)
Your answers to the four discovery questions
Your proposed data cut-off date
They'll coordinate the migration timeline and next steps from there.
