How do I apply a Task Template? (New Recurrence Scheduler Beta)

Apply a task template from the Create Task window to quickly set up standardized work. This guide covers both non-recurring templates and recurring templates that using the recurrence scheduler.

Heads up!
The new task recurrence scheduler is in beta. To turn it on, go to Profile icon > Settings > Experimental Features, then toggle on Task Recurrence Scheduler.

Apply a Non-Recurring Task Template

  1. Click the + in the global navigation → Create Task.

  2. In the Create Task modal, click Template.

  3. Search and select your task templateApply.

  4. Complete editable fields (if not autofilled with template):

    • Client, Resolution Case (optional)

    • Assignees / Roles (if enabled for your plan)

    • Budgeted hours, Priority, Description

    • Dates (Fixed, Relative, Custom as needed)

  5. Choose Create and Manage (open workspace) or Create and Close (save and return).

Note: Non-recurring templates behave like legacy templates—after applying, the task is fully editable before you create it.


Apply a Recurring Task Template (New Scheduler)

A recurring task template applies a prebuilt recurrence blueprint. It looks a little different in the Create Task modal and in the workspace.

  1. Create Task → click Template → select a recurring templateApply.

  2. You’ll see a Linked Task Template banner at the top of the task, showing the template name and a chain icon.

  3. While the task is linked to the template in the Create Task modal:

    • Most fields inherit from the template and are locked.

    • You can typically still set Client, Priority, and Tax Year.

    • Click the template name to open it in a new tab for review/edits (then save and reapply—see Section 4).

  4. Choose Create and Manage to open the workspace (recommended for recurring tasks).

💡 Example: Use a “Monthly Bookkeeping” recurring template with rules like Create 7 days before month-end; Due on Last day so each month’s task appears on time with the right due date.


Manage Recurrences from the Task Workspace

After you click Create and Manage:

  • In the upper-right of the workspace, click the recurrence frequency (e.g., Monthly) to view a summary of the schedule and select Manage recurrences.

  • Manage recurrences opens a blueprint view (mirrors the template’s recurrence builder) and shows:

    • A link to the template and the chain icon to unlink.

    • The full Create / Due / Repeats-until rules defined by the template.

  • If you click the template link here, the template opens with a banner such as:

    “Recurring Tasks are using this template. Updates here will apply to future task creations for [X] linked tasks.”
    Edit and Save the template; future instances will use the new settings (the current task remains unchanged—you can edit it manually if needed).

End a series: In the blueprint’s menu (upper-right), select End recurrence series. Back in Manage recurrences, you’ll see a notice that a team member canceled future recurrences.


Linked Template Behavior (edit, reapply, unlink)

Edit & Reapply (while still linked)

  • From the Create Task modal or the workspace blueprint, click the template name, make edits, then Save.

  • Return to the task and reapply the template (Create Task modal → Template → select the same template) to pull changes into the current in-progress task.

  • Future recurring tasks will automatically reflect template changes.

Unlinking

  • Click the chain icon next to Linked Task Template.

  • You’ll see a warning: once unlinked, this task/series cannot be re-linked to that template.

  • After unlinking:

    • The task keeps the template’s settings as a starting point but becomes fully editable.

    • The recurrence now has its own independent blueprint (changes affect only this task’s series).

    • Template updates no longer affect this task’s future instances.


Troubleshooting

  • Template edits didn’t change my current task.
    Expected. Template updates apply to future instances. To refresh the current task, reapply the template before creating, or adjust the task/workspace settings manually.

  • I don’t see the Linked Task Template banner.
    Confirm you applied a recurring template (not a non-recurring one).

  • I unlinked and want to re-link.
    Re-linking isn’t supported. You can still apply the original template to a new task.

  • Series won’t regenerate.
    In the workspace blueprint, verify Create/Due rules, weekday/weekend options, and that prior instances are marked Complete when using “Upon completion” patterns.


Summary

Use non-recurring templates when you want full edit control at creation time.
Use recurring templates to apply a reusable recurrence blueprint—manage details from the task workspace, keep the series linked for future updates, or unlink when this task needs to diverge.
