How Do I Review and Resolve Items in Close Automation?

Review and Resolve Items in Close Automation

Review and Resolve Items

Items to Review shows flagged records from your active monitors β€” transactions, customers, or other records that need attention before the close is complete. Resolving an item updates the connected accounting software directly.

Why it matters: Instead of manually hunting for uncategorized transactions or missing customer details in your accounting software, Items to Review surfaces everything that needs attention in one list β€” and lets you fix it or send a client request without leaving Canopy.

Required: Close Automation add-on. A connected accounting software account is required.

πŸ’‘ This feature is currently in Early Access. Enable it in Settings > Experimental Features.

Review and Resolve an Item

Items appear in this list because an active monitor flagged them. Resolving an item means adding the missing information directly in Canopy β€” the update syncs back to your connected accounting software in real time.

  1. Open a client record and click the Close Automation tab.

  2. Click Items to Review in the sub-tab navigation.

  3. Review the list. Each row shows:

    • Monitor β€” the rule that flagged the item (e.g., No customer address, Large check written)

    • Record Type β€” the type of record flagged (e.g., Customer, Purchase)

    • Review Status β€” current status of the item (e.g., Needs Review)

    • Date, Organization, Total Amount, and Lines β€” details about the flagged record

  4. For each flagged item, choose one of the following actions from the Actions column:

    • Pencil icon β€” expands the item inline so you can enter missing or corrected information.

      • The fields shown depend on the monitor type. For example, a No customer address item shows billing address fields; other monitor types show fields relevant to that record.

      • Enter the information and click Save. The update syncs to your connected accounting software automatically.

    • Checkmark icon β€” marks the item as reviewed without making any changes. Use this when no action is needed but you want to clear the item from the list.

  5. The item is removed from the list once resolved either way.

    • If a transaction is later updated in your accounting software and no longer triggers the monitor, it is also removed from this list automatically.

Send a Client Request for One or More Items

Skip this section if you can resolve the flagged items yourself without needing information from the client.

When you need the client to provide missing information, you can send one or more flagged items as a client request directly from Items to Review.

  1. In the Items to Review list, click the checkbox next to one or more items.

    • A Send Client Request button appears in the upper right corner.

  2. Click Send Client Request.

    • A client request is created and sent to the client portal as a task.

    • Each item is tracked individually β€” clients can respond to items one at a time, and you can view responses as they come in without waiting for all items to be answered.

  3. Once a client request has been sent, the Review Status column shows a client request icon next to the status for that item.

    • When the client responds, the icon changes to a message icon with a comment count.

    • Click the message icon to expand the item inline and view the comment thread from the client conversation.

πŸ“ Note: For the best experience managing client communication, view responses on the client request page rather than the Work page. This keeps all comments and context for each item visible in one place.

Open an Item in Your Accounting Software

Skip this section if you don't need to view or edit the full transaction record in your accounting software.

Each item in the list includes a direct link to the corresponding record in your connected accounting software.

  • In the Items to Review list, click the open icon (square with arrow) in the Actions column for the item you want to view.

    • The record opens in your accounting software in a new browser tab.

    • This link takes you directly to the specific transaction or record β€” no manual navigation required.
