How Do I Use the Bulk Actions Menu?

Use the Bulk Actions menu to perform the same action across multiple clients at once—saving time during busy workflows like onboarding, tax season, or firm-wide communication.


Why This Matters

Bulk actions help you move faster by eliminating repetitive, one-by-one tasks. If multiple clients need the same email, task, request, or setup, bulk actions let you handle it in a few clicks.

Use the Bulk Actions Menu in the Client List

  1. Navigate to Clients > Client List.

  2. Select the checkbox next to each client you want to include.

  3. Scroll to the top-right of the client list to view the Bulk Actions menu.

  4. Click the action you want to perform.

Once selected, the action applies to all chosen clients.



Send Bulk Emails

Bulk email is useful for firm-wide or group communications such as:

  • Document reminders

  • Tax law updates

  • Annual newsletters

  1. Select your clients.

  2. Click the Email bulk action.

  3. Enter a subject and message.

You can personalize messages using Insert Text (lightning bolt icon) to include:

  • First name

  • Last name

  • Business name

  • Phone number

This ensures each client receives a personalized version of the same email.

Heads-up: Canopy sends up to 250 bulk emails per day. If you exceed this limit, emails are sent in daily batches of 250 until delivery is complete.


Create Tasks and Apply Task Templates

Tasks represent work you complete for clients, such as tax returns or bookkeeping processes.

  1. Select your clients.

  2. Click the Tasks bulk action.

  3. Create a new task or apply a Task Template.

Tasks can include:

  • Subtasks

  • Client requests (sent to the Client Portal)

This is especially useful when multiple clients need the same work or information request.

Send Client Requests

Client Requests are one-off requests for files or information sent through the Client Portal.

  1. Select your clients.

  2. Click Client Requests from the bulk actions menu.

  3. Create or apply a Client Request template.

All selected clients receive the same request at once.

Create Organizers

Organizers are structured questionnaires used to collect tax information.

  1. Select your clients.

  2. Click Organizers from the bulk actions menu.

  3. Apply the organizer.

This is ideal for onboarding tax clients or collecting standardized information in bulk.

Apply Folder Templates

Folder Templates allow you to apply a predefined folder structure to multiple clients at once.

  1. Select your clients.

  2. Click Apply Folder Template.

  3. Choose an existing folder template.

Note: Folder templates must be created before they can be applied.

Additional Bulk Actions

Select the three-dot (More options) icon to access additional bulk actions, including:

  • Copy files in bulk

  • Manage assignments

  • Assign client owner

  • Apply or remove tags

  • Make clients inactive

  • Archive clients

Tags can be used to label clients by location, service type, or internal ownership.


Bulk Actions Outside the Client List

Bulk actions aren’t limited to the Client List. For example, when selecting multiple files, you can:

  • Download

  • Move

  • Share

  • Change visibility

  • Combine files

Tip: Hover over any bulk action icon to see what it does.
