Even with client portal access, clients probably send you files via email because they don't want to log in to the client portal just to upload some documents. Using secure links allows clients to upload documents directly from their email. This helps you get the documents you need faster and gives clients and third parties a simple way to securely upload their documents.
For example, a bookkeeper needs to upload files for a client once a month, but they don't need access to sensitive information on the client's portal. In this situation, you should use secure links to request files.
Request Files via Secure Link
1. Navigate to the Files tab on a Client record.
2. Select the Upload link icon .
3. Click the Recipients field to add email addresses in the Create an upload link window.
Select the boxes next to Clients or Team Members if needed.
If the recipient is a third party with no access to the client portal, enter the email address.
Continue entering recipients as needed. When you're finished, click Done.
4. To Include a personalized message switch the toggle to green.
Select Templates (found in Canopy as Client Portal Invitation Templates) or manually enter a message in the text field.
5. Select a date in the Link expiration date field.
Expiration dates can range from 3 days to 2 weeks from creating an upload link.
6. Click Send now.
7. In the Successfully Sent window, click View recipients or X to close the window.
Manage Upload Links
1. Go to a client record and select the Files tab.
2. Select the Upload link icon .
3. Add more recipients in the Add recipients field.
4. Click the dropdown for File Link Recipients if needed.
Choose between View active links only and View recipient history.
5. Click the icon to Edit and resend the link.
You can then edit and resend the link from the Create an upload link window that pops up.
6. Click the to Remove link access.
Select Remove access to complete the action.
This message populates after you remove access.
