Click Files on the global navigation bar and choose Client Files, Internal Files, or My Files to get started.

Client Info Drawer: If you want to reference your client's information while you're working in the Files tab of a Client Record, simply select the Client Info option next to the client name. A drawer will slide in from the left and you can click the option again to "hide" it as you need! Selecting the "x" will also close the drawer for you.

Upload Files

Start with the client record page by going to a client's record page within your client list, then select the Files tab.

  • First, use the sidebar to select the location you want to add the file to.

  • Click the Add button

  • Select Upload File

  • You’ll be asked to locate the file on your device. Select the file, and then click open (or you can also double-click)

Now your file has been added for this client.

Make Files Visible in the Client Portal

When we upload files here, it does not mean your client can automatically see these yet!

A pop-up window appears after to ask you if you want to make this visible in the client portal. If you toggle this and have not yet invited them to the portal, you’ll see the client portal window to send an invitation.

If you have team members at your firm who are assigned to work with this client, you have the option of notifying them that you added a file.

Clients can only view files if they are made visible to the client portal. The silhouette icon indicates this visibility - blue if it’s visible and gray if it’s not.

View Client Portal: As a practitioner, you can get a better look at what files and folders clients can see in their portal.

To do this, simply select the icon below the Add button.

From the Client Portal View window, you can see file and folder names, the dates they were added, and who added them!

There are 2 ways to make files visible in the client portal in bulk:

  1. Bulk-selecting all files within a folder

  2. Or searching the files' common name and selecting them there

Move Files

The Move Files feature is useful for moving files from one client to another (as long as they are in the same client group), internally, and within your own files.

Click Files on the global navigation bar to get started and choose Client, Internal, or My Files.

1. Find the file you want to move.

From Client Files

  • Search for the file by typing the name in the Search your files search bar.

  • You can also click on a Client and find the file that way.

From Internal Files

Use the search bar to narrow your search or find the file from the left-hand panel.

From My Files

To locate a file in My Files, follow the same steps from Internal Files.

2. Right-click the file.

3. Click Move.

4. Select the Client you want to move the file to.

Find other clients in the Client Group by selecting Client files towards the top of the Move file window.

Double-click a client name to find the folder you want the file to move to.

Note: Client Files can only be moved between other Client Files. Internal Files can be moved between Internal, Client, and My Files. My Files can be moved between Internal, Client, and My Files.

5. Click Move here.

A message will populate at the bottom of the screen after successfully moving the file.

Share Files Using Secure Links

Sharing a File

You can share files with contacts or team members you're collaborating with. After right-clicking on the file, select share file.

In the Share file menu, indicate which team members or contacts should see this.

Once you indicate who, you can decide to write a personalized message or a template.

Then click Send. If you are sending it to a contact, they will get an email notification that you shared the file with them and it will appear in their client portal. So this makes the file visible to your client.

If you are sending it to a team member, they will also get an email and link to the file in their Canopy account. It’s not sending an attachment, just more of a notification and direct pathway to the file.

Use the Copy Portal Link Feature

Similarly, if you have a chat system, text message thread with a client, or they have trouble locating the file, you can copy a link to the file and send them the URL that way. Right-click and select Copy portal link in the menu and you can paste the link wherever you need.

This also makes the file visible in the client portal if it wasn’t already!

Request Files Using Secure Links

Clients might send you files via email when they don't want to log in to the client portal to upload documents. Using secure links allows clients to upload documents from their email. You'll get the documents you need faster and it gives them and other third parties a secure way to upload documents.

For example, if a bookkeeper needs to upload files for a client each month, they don't need access to all that sensitive information in their client portal. They can simply use secure links that you send! Follow the next steps on how to request files with secure links.

A Note on File Compatibility:

  • File Type: .bmp .csv .doc .docx .emf .eml .heic .htm .html .jp2 .jpeg .jpg .mkv .mov .mp4 .msg .ods .odt .pdf .png .ppt .pptx .rtf .tif .tiff .txt .xls .xlsm .xlsx .xod .xps

  • Max File Size: 4.999342 GB

  • Folders: Folders must be compressed or zipped. Unzipped folders will not be uploaded.

1. On a Client Record, navigate to the Files tab.

2. Under the Add button, click Upload link.

Click the Recipients field to add new email addresses in the Create an upload link window.

Select the boxes next to Contacts or Team Members if needed.

If the recipient is a third party with no access to the client portal, enter their email address.

Continue adding recipients as needed from the list. When you're finished, click Done.

4. To Include a personalized message switch the toggle to green.

Select Templates (update these from the Client Portal Invitation Templates section of Canopy) or manually enter a message in the text field.

5. Select a date from the Link expiration date field.

Expiration dates can range from 3 days to 2 weeks from creating an upload link.

6. Click Send now.

7. In the Successfully Sent window, click View recipients or X to close the window.

Manage Upload Links

1. Go to a client record and select the Files tab.

2. Under the Add button, select Upload link.

3. Add more recipients in the Add recipients field.

4. Click the dropdown for File Link Recipients to see active links and recipient history.

5. Click the icon to Edit and resend the link.

You can then edit and resend the link from the Create an upload link window that pops up.

6. Click the to Remove link access.

Select Remove access to complete the action.

This message populates after removing access.

Upload Files Using Secure Links

1. Select Upload Files.

Note: The italicized text under Upload Files shows the date that this link expires. If it happens to be after the expiration date, you or a team member need to update the date from the client files.

2. On the top right of the window that populates, click Add a file.

Choose any needed files from the File Explorer that populates.

3. Alternatively, you can drag and drop files to this area.

4. In the Name Uploads window, rename your uploaded files.

5. Click Save.

6. For 10 minutes after uploading the file, you can Delete or Rename the files.

If you add another file after the initial upload, you have 10 minutes from the second upload to Rename or Delete the file.

A window populates to confirm the deletion.

After 10 minutes, uploads cannot be renamed or deleted and are added to the client files inbox.

Note: You can go back to the upload link from your email at any time to upload files as long as the link has not expired!
