Enroll in Canopy Payments

Quick Tip: Use a computer instead of a mobile device for quicker and easier enrollment in Canopy Payments!

Make payments and process them within Canopy using Canopy Payments to create an all-in-one billing solution for your practice.

You need to enroll in Canopy Payments to process ACH and credit card payments through Canopy.

If you don't use Canopy Payments, you may use a third-party payment processor outside of Canopy and manually log your payments.

Note on Deposit Times: Both credit card and ACH transactions take ~2 business days to process in your account.

Enroll in Canopy Payments as an Individual Entity

Important Note: Individuals (sole proprietors) cannot process client payments. This means you cannot set up one-off or recurring payments. Only your clients can make payments in the portal.

1. Choose Payments in the Billing menu.

Canopy will redirect you to the global billing dashboard.

Other Option: You can also enroll by navigating to your Billing Settings and selecting the Payments tab.

2. Click Learn more on the Canopy Payments banner.

3. Select Start enrollment.

4. Fill out the required fields in the Setup window.

For Individual entities, enter your first and last name.

Best Practice: Make sure that the First name and Last name fields exactly match the name associated with the SSN. Not doing this could slow the approval of your application!

5. Opt into surcharging and agree to the terms and conditions.

Surcharging is optional, but you must agree to the terms and conditions in order to move forward with the enrollment.

6. After entering the required information, hit Continue.

A page will populate prompting you to provide more details.

7. Select Provide personal details.

8. Enter your information and select Next.

Best Practice: Be sure to enter a +1 at the beginning of the phone number to save and continue to the next step in the process.

9. Enter your address details and select Next.

10. Verify that all information is correct and select Submit.

Once you submit, the previous details screen will populate.

11. Select Provide payout details.

12. Enter your payout account details.

13. To confirm your bank account information, select a document type and upload a document.

Permitted document types include:

  • Bank statements

  • Deposit tickets/deposit forms

  • Screenshots of the online banking environment

  • Official emails or a letter from your bank

  • Cheques

14. After attaching the document, enter a description if desired and then select Next.

15. Review your information and click Submit.

16. Once you submit, select Back to Canopy.

Application Approval: Usually, you will know if the application has been accepted within a few seconds of completing the process. You can expect to receive an approval or denial within 1-2 business days. If any information is needed to approve your application, an email will be sent to you. There will also be an in-app notification to notify you of more information needed.

17. Confirm your account is active.

Update your Canopy Payments account as needed by clicking Update account underneath the account status.

Enroll in Canopy Payments as an Organization Entity

1. Choose Payments in the Billing menu.

2. Click Learn more on the Canopy Payments banner.

3. Click Start enrollment.

4. Fill out the required fields in the Setup window.

For Organization entities, enter the Legal Company Name.

Best Practice: Make sure that the Legal Company Name field exactly matches the name associated with the EIN. Not doing this could slow the approval of your application!

5. Opt into Manually entering client Payment Methods & Surcharging and agree to the terms and conditions.

Manually entering payments on your side as well as surcharging is optional, but you must agree to the terms and conditions to move forward with the enrollment.

6. After entering the required information, hit Continue.

A page will populate prompting you to provide more details.

7. Click on Add decision makers.

The Provide company details section is already marked as Finished from the previous setup window.

8. Review the requirements listed and then click + Add decision maker.

You can also click on the drop-down box (as shown below with an arrow) to learn about the difference between the three types of decision-makers.

Best Practice: The individual’s entered info, concerning a legal entity, must be an owner, controlling person, or a signatory. Make sure you are at least one of these, but you could also be all three! All three decision-maker fields must be entered.

9. Fill out the first decision-maker's personal information and click Next.

10. Enter their address information and select Next.

You can search for the address or manually enter it, whichever you prefer.

11. Select the document type from the drop-down and then upload the required files.

You can provide one of three document types:

  • Driver's license

  • Passport

  • ID

12. Select Next.

13. Review the information you entered and then click Submit.

14. Now that you've added the first decision-maker, continue to + Add decision-makers until you have provided all information.

15. Once complete, select Save and go to Overview.

16. On the overview screen, click on the Provide payout details section.

17. Enter the payout account details and select Next.

18. Select a document type and upload a document to confirm your bank account information.

Permitted document types include:

  • Bank statements

  • Screenshots of the online banking environment

19. After attaching the document, enter a description, if needed, and then select Next.

20. Review the information and select Submit.

21. To complete enrollment, review and sign the official documentation in the PCI DSS questionnaire section.

22. Carefully review and answer the questions, select a Signer, select the box to acknowledge and agree, and click Sign.

23. If needed, Download the PCI DSS questionnaire and then select Back to Canopy.

The Billing Settings page in Canopy will populate.

24. Your account is now active!

Update your Canopy Payments account as needed by clicking Update account underneath the account status.
