Engagement templates allow you to build out commonly used engagements, quickly apply them to any client, and make necessary customizations for those clients.
Create an Engagement Template
The only area in Canopy where you can create an Engagement template is within the Templates tab.
1. Select Templates on the global navigation bar.
2. Select Engagement.
3. Choose Create template/Create new.
You'll see Create new as the only option when you have saved templates.
4. Enter an Engagement Template name.
5. Enter Engagement Details.
An Engagement Name is required. Optional fields include:
Start Date
End Date
Assignee(s)
A green checkmark indicates the completed sections of the engagement template
6. Select Engagement Items.
Click +Add engagement item to add services to your engagement.
7. Fill out details or select an Engagement Item Template.
You will need to create an Engagement Item Template before adding it to the proposal. See our guide on how to create Engagement Item Templates here!
After you select a template, you will see the summary of the engagement item added.
If you are not using an engagement item template, fill out the following:
Engagement Item name (required)
Service Item - See our tutorial on creating service items here.
Rate
Rate type
Tax due with invoice (%)
Next, fill out the description. Your client will see the description on the proposal after you send it to the portal.
Select +Add engagement item to add more services if needed.
8. Enter Billing Details
Click Select billing frequency.
If you haven't selected a billing frequency for the engagement item, you'll be redirected to the Engagement Item tab to choose one.
Billing frequency options include:
Weekly
Monthly
Quarterly
Yearly
Upon acceptance
Upon completion
Under Billing and payment you can customize your billing settings further.
9. Add Terms of Service.
Select the Terms tab. For General Terms, letter templates can be selected to fill out the field. Check out how to create letter templates here!
Under the Service Terms section, you can fill out whatever you'd like! Formatting tools are listed at the top of the text field.
If you've used an Engagement Item template, the Service Terms fill out based on what you set in the Engagement Item Template.
10. Add a Task Template.
This step is optional! If you'd like a task to be triggered when your client accepts the proposal you can link a task template under the Tasks tab.
11. Click Save Template.
Select Save Template in the upper right-hand corner. Now you're ready to use your Engagement Template!
12. Apply the Engagement Template.
Now when you create an Engagement you have the option to use a template or create from scratch!
β
Select your template from the drop-down menu and select Next.
See our tutorial on how to Create an Engagement here!
β
Voila! You've created an Engagement Template, saving you a ton of time when creating proposals. Congrats!
Canopy Tip: We recommend creating associated Engagement Item templates before starting on an Engagement template. If you don't, you can always save the Engagement item template as a draft, go add your Engagement Item templates, come back to the Engagement template draft, and add the Engagement item template at that time!
