How do I manage a Document Checklist on Mobile?

Document Checklists help you easily collect documents from clients in one organized place. A Document Checklist is a type of client request optimized for document collection. You can mark specific uploads as required, and clients can also upload additional files using a general upload link.

Before You Start

Before managing a Document Checklist on the mobile app:

  • Send a Document Checklist to a client or contact using the web version of Canopy. Check out this article for a step-by step walkthrough.

  • Once sent, you can view and upload documents on behalf of the client from the mobile app.


Access a Document Checklist on Mobile

  1. Open the Canopy app on your mobile device and log in.

  2. Navigate to the client or contact you sent the Document Checklist to.

  3. Tap the Tasks tab within the client record.

  4. Tap the Document Checklist from the task list.


Navigate the Document Checklist

At the top of the task:

  • You can see and adjust the Status and Priority by tapping the dropdown menus.

Below the task header:

  • Details tab — Shows assignee, created date, created by, description, and a View button to open the checklist and upload documents on the client’s behalf.

  • Comments tab — Add comments that the client can see; clients can also reply here.

  • Files tab — Add files or view/export uploaded files. Tap the three dots next to a file name, then tap Export to download.

  • Notes tab — Add internal notes (not visible to the client).

To edit or archive the request:

  • Tap the three-dot icon in the upper-right corner to change the title, assignee, priority, description, or due date—or to archive the task.


View the Checklist and Upload Files

  1. Navigate to the Details tab in the Document Checklist task.

  2. Tap View.

  3. Tap Upload file.

  4. Choose an upload method (e.g., Photo Library, Take Photo or Video, Choose Files).

  5. After uploading, name the file.

  6. Tap Save.

  7. (Optional) Tap the three dots next to the file to rename or delete it.

  8. (Optional) If a required file is not needed, tap Not applicable to mark it complete.


Troubleshooting

If you don’t see the Document Checklist in the mobile app:

  1. Confirm the document checklist was sent from the web app before looking

  2. Refresh the app or log out and back in.

  3. Make sure you’re viewing the correct client or contact.
