Insights: Billable & Billed Hours by Client

Purpose

To compare the number of billable hours (time logged that could be invoiced) versus billed hours (time actually invoiced) per client, enabling the firm to evaluate client-level realization, billing efficiency, and profitability.

Need-to-Know Glossary of Terms

  • Time Entry Hours - Length of time entry.

  • Time Entry Start Date - Starting timestamp of time entry duration.

  • Service Item Name - Refers to the designation used to identify the specific service billed to the client.

  • Time Entry User Name - The name of the team member who logged time.

  • Client Name - Customer name, if a display name exists, that will be the primary search term. If there is no display name, first and last name will be displayed.

  • Billed Time Entry Hours - Time entries that have been added to an invoice.

  • Time Entry Billable Amount - Duration of time entry mulitplied by the rate.

  • Time Entry Billed Amount - Billed time entry multiplied by the rate.

  • Billable Time Entry Hours - Billable hours not yet added to an invoice.

  • Billable Amount Formula - Calculates the sum of time entry billable amounts.

Report Structure Overview

  1. Time Entry is Billable Filter - Only includes time entries that are billable

  2. Row - Client Name

  3. Expanded Row Level 2 - Time entry Start Date monthly

  4. Expanded Row Level 3 - Time Entry User Name

  5. Column - Billable Time Entry Hours

  6. Column - Billable Amount formula

  7. Column - Billed Time Entry Hours

  8. Column - Billed Amount formula


Suggested Modifications: Prefer to see the full number amounts versus the abbreviated unit?

  1. Navigate to the Configure panel on the right hand side.

  2. Scroll down to the Values section and select one of the data points, for example, Billable Amount.

  3. Select the option None under the Unit drop-down menu.


Primary Use Case Scenario

A Partner reviews this report monthly to track how much of the work performed for each client is actually being billed. This report can also be helpful in identifying clients with large gaps between billable and billed hours, which could indicate write-downs, scope misalignment, or under-billing.


Actionable Insights

Clear visibility into billing efficiency per client and quick identification of low-realization clients where a high percentage of billable work is not being invoiced.
