How do I use the Capacity Planning Board View? (Beta)

The Capacity Planning Board lets firms visualize workloads and rebalance tasks across team members using a simple drag-and-drop board view. It helps firm leaders manage team capacity, balance work, and adjust staffing in real time—all within the Workflow module you already use.

The Capacity Planning Board is in beta and includes limited functionality. This intentional release allows Canopy to gather user feedback before expanding features.

Navigate to Settings > Experimental features to toggle on the Capacity Planning Board View.

Navigate to Board View

  1. Click the Work tab in the navigation bar and select Task List.

  2. Choose a saved task list tab you want to view in Board View.

  3. Click the Capacity Planner icon to switch to Board View.

    • The board automatically reflects the same filters as your selected task list.

Heads Up!

The Capacity Planning Board View only shows cards for the tasks currently visible in List View. To display more cards, switch back to List View, click Load more at the bottom to load additional tasks, and then return to Board View.



Alter Task Filters in Board View

  1. To change filters, switch back to List View.

  2. Add or remove filters as needed.

  3. Switch back to Board View to see updated results.

  4. Click Clear changes to revert to the original saved filters, or Save filter to update your saved task list.

Tip: Saved tabs let you switch quickly between filtered task views and board views without reapplying filters every time.



Manage Tasks in Board View

Tasks appear as cards organized by assignee. Each column represents a team member and displays their budgeted hours and recorded hours.

Each card includes:

  • Task name

  • Due date

  • Roles/assignees

  • Client/Contact

  • Task status and priority

  • Time budgeted on the task/subtask.

  1. Drag and drop a task card into another team member’s column to reassign work.

    • The column totals for budgeted and tracked hours update automatically.

  2. Click the task card to open the Task Workspace and manage task details.

  3. Click the back arrow in the upper-left corner to return to the Board View.

  4. Scroll vertically to view more task cards in each column.

  5. Scroll horizontally to navigate across assignee columns.

Best Practice: Use the Board View during weekly planning meetings to quickly visualize workloads and rebalance hours before deadlines.
