How do I use AI to place eSign fields on my documents?

AI field placement helps automate eSign setup by detecting common locations for signatures, dates, initials, text fields, and checkboxes. You can review, adjust, or remove AI-placed fields before sending an eSign request.

Add eSign Fields with AI

  1. Click Clients on the global navigation bar.

  2. Search for and open the Client Record.

  3. Click the Files tab.

  4. In Client Files, find the file you want to use for eSign.

  5. Click the three-dot menu next to the file name.

  6. Select eSign request.

  7. In the eSign preview, click Place fields with AI.

    • AI will scan the document and suggest fields. Processing may take a few seconds.

  8. Review each page and drag fields to adjust placement as needed.

  9. (Optional) Add any additional fields manually, including:

    • Signatures

    • Dates

    • Initials

    • Text fields

  10. Complete the rest of the eSign setup:

    • Assign signers

    • Configure signer authentication

    • Add EROs

    • Set a due date or reminder

  11. Click Send request.


Remove AI-Placed Fields

If you need to remove all AI-generated placements:

  • Click Remove AI fields in the eSign preview.

  • Add fields manually or click Place fields with AI again to re-run detection.


When to Use AI Field Placement

AI field placement is especially helpful when working with:

  • Recurring forms or client documents with predictable signing locations

  • IRS forms

  • Engagement letters

  • Multi-page documents that require repeated manual field placement

You may still need to manually adjust fields on highly customized or stylized documents.


Troubleshooting

I don’t see the “Place fields with AI” button

  • Ensure the feature is enabled under Settings › Experimental features.

  • Confirm you started an eSign request from the file’s three-dot menu.

  • Check that you have permission to create eSign requests.

AI missed some fields

  • Drag fields to the correct location or add missing fields manually.

  • For forms with unusual layouts, using a saved template may provide better accuracy.

AI placed fields incorrectly

  • Drag fields to the correct position, or

  • Click Remove AI fields and run AI placement again.
