How do I use the Tasks List?

Why This Matters

Managing tasks efficiently is critical for firm workflows—especially when handling high task volumes during busy seasons. The task list reduces friction when working in bulk, improves visibility into subtasks, and make large task lists easy to navigate.

Select Tasks Using Checkboxes

The task list includes checkboxes for easy bulk selection.

  • Each task includes a checkbox on the left side of the row.

  • After selecting one or more tasks, bulk action icons automatically appear.

  • The bulk actions include:

    • Edit status

    • Edit Priority

    • Edit dates

    • Edit assignees

    • Edit roles

    • More options (3-dot icon): Edit task, copy task, edit task tag(s), End task recurrences, archive.

Tip: This is especially helpful when reassigning, updating, or completing multiple tasks at once.


View Subtasks in a Pop-Up Window

Subtasks are displayed in a dedicated pop-up window. This keeps the main task list clean while allowing focused subtask review.

  • Click the subtask button showing the number of subtasks in a workflow.

  • A pop-up window opens to display all related subtasks. In the pop-up you can:

    • Edit the task status

    • Edit the subtask statuses

    • View subtask details including assignees, due dates, time tracked...etc.

    • Click on the subtask name to open the task workspace for further subtask management.

    • Click on the client name to open the Client Record.


Navigate Tasks Using Pagination

Pagination improves performance and usability for large task lists.

  • Choose to display 50, 100, or 200 tasks per page.

  • Page numbers appear at the bottom of the task list.

  • Use the arrow controls to move between pages.

This helps reduce scrolling and makes large task lists easier to manage.
