How Do I Use the Tasks List?

The Tasks List gives you a centralized view of all tasks across your firm, with tools to sort, filter, customize columns, manage subtasks, and perform bulk updates.

Required: Available on all Canopy plans.

Why it matters: During busy season, the Tasks List is your firm-wide command center — spot overdue work, shift assignments, and track progress across every client without opening individual records.

Navigate to the Tasks List

  1. Click Work in the global navigation bar.

  2. In the slide-in panel, click Task List.

The Tasks List displays task status, name, task type, client, date, date type, and assignees by default.



Customize Task List Views

Columns

  • Drag and drop a column to reorder.

Tasks per page and pagination

  • Use the dropdown at the bottom of the list to display 50, 100, or 200 tasks per page.

  • Use the navigation arrows or click a page number to move between pages.

Sort, filter, and save views

  • Click any column header to sort by that column.

  • Use the column filter to narrow tasks by assignee, status, client, and other criteria.

  • To save a filtered view, click Save filter change. To reset, click Reset View.

  • To pin a task to the top of the list, click the Pin icon.

Use the Options Menu

  1. Click the (Options) icon in the upper-right corner of the Tasks List.

  2. Select any of the following:

What it does

Archived Tasks

Opens a panel to view, restore, or permanently delete archived tasks

Show Completed/Canceled

Toggles completed and canceled tasks on or off in the list

Show Subtasks

Toggles subtask rows on or off in the list

To restore or delete archived tasks:

  1. Click > Archived Tasks.

  2. Click Move to active to restore a task, or Delete to permanently remove it.

    • Use the search field to find a specific archived task.

  3. Click Done to close the panel.



View and Edit Subtasks

The Tasks List gives you two ways to work with subtasks: as rows in the list, or through the subtask modal on an individual task.

Open the subtask modal

The subtask modal is available on any task that has subtasks, regardless of whether Show Subtasks is enabled.

  1. Locate a task with subtasks — the subtask icon (e.g., 4/13) shows how many are complete out of total.

  2. Click the subtask icon to open the modal.

  3. From the modal, you can:

    • Click a subtask name to open its task workspace.

    • Click a subtask status to change it.

    • Change the workflow status using the dropdown in the top-left corner.

    • Edit Assignee, Role, and Due Date inline.

    • View total time tracked vs. budgeted time in the bottom-right graphic.

      • Time tracked cannot be edited from this modal.

  4. Click Save to apply any changes.

Show subtasks as rows

Skip this section if you don't need subtasks visible in the main list.

  1. Click > Show Subtasks to toggle subtask rows on.

  2. Each subtask appears as its own row with a Task Type of Subtask.

    • To filter the list to subtasks only, apply a Task Type: Subtask filter in the filter bar.

    • This filter option only appears when Show Subtasks is enabled.

  3. Click > Show Subtasks again to hide subtask rows.



Bulk Actions

Skip this section if you need to update only a single task — right-click the task to access individual actions.

Select one or more tasks using the checkboxes to the left of each task row. Bulk action icons appear in the upper-right corner of the list.

Available bulk actions: Edit Status, Edit Priority, Edit Dates, Edit Assignee, Edit Role.

Click More Options for: Edit Task Tag(s), End Task Recurrences, Archive.

Create Tasks and Requests

  1. Click Create in the upper-right corner.

  2. Select what you want to create:

    • Task

    • Client Request

    • Questionnaire

    • Document Checklist

  3. Complete the item and save.



Edit a Single Task

  1. Right-click the task you want to edit.

  2. Select an option from the dropdown:

    • Edit task

    • Copy task (only works for tasks, document checklists, and questionnaires)

    • Edit status

    • Edit priority

    • Edit dates

    • Edit assignee(s)

    • Edit role(s)

    • End Task recurrences

    • Archive

  3. Select and option and update the task as needed.



Export Tasks

Exports generate a CSV file stored in My Files. You'll receive an email or badge notification when it's ready.

  1. Navigate to Work > Task List.

  2. Click the Export icon.

  3. Select Export filtered tasks or Export all tasks.

  4. Open the file from in your 'My Files' folder.



Troubleshooting

Subtasks not appearing in the list

  1. Click and confirm Show Subtasks is checked.

  2. If the issue persists, open Canopy in an incognito window.

    • If subtasks appear in incognito, a browser cache issue is the likely cause.

  3. Open your browser settings and clear cached images, files, and cookies.

  4. Restart the browser and return to Canopy.

Finding subtasks without due dates

  1. Enable Show Subtasks from the menu.

  2. Sort by Due Date and check the No date box in the filter.
