Invoice templates allow you to standardize recurring invoices so your team can bill faster and more consistently. Templates control structure and default settings, but you can still customize invoices before sending.
Invoice templates reduce repetitive data entry and help ensure consistent pricing, descriptions, and terms across your firm—especially for recurring services like monthly bookkeeping, payroll, or advisory retainers.
Required Permissions:
Billing access with permission to create and edit invoices.
⚠️ Experimental Feature (Beta)
Invoice Templates are currently behind an experimental feature toggle.
To enable this feature:
Navigate to Settings > Feature Toggles.
Turn on Invoice Templates.
Refresh your browser.
Once enabled, you’ll see Invoice under Templates in the navigation bar.

Create an Invoice Template
Navigate to Invoice Templates
Go to Templates > Invoice.
Click New Template.
Add Template Details
Enter a Template Title.
Add a Template Description (internal only).
Add an Invoice Description (client-facing).
Select the Terms (e.g., Due on receipt, Net 15, Net 30).
Tip: Use consistent naming conventions (e.g., “Monthly Bookkeeping – S Corp”) to make templates easy to find during busy seasons.
Configure Template Settings
Click the Settings icon.
Adjust visible columns on the invoice.
Choose whether line items should be separated or grouped.
Add Terms of Service, if applicable.
Click Save.
Add Invoice Line Items
Under Invoice Items, select a pre-made Service Item to autofill pricing and details.
(Optional) Manually type a custom line item if needed.
Click Add Line Item to include additional services.
Adjust quantities, rates, or totals as needed.
Use WUWD (What You Want to Discount) to apply adjustments to specific line items or the overall total.
Optional: Create a Single Line Invoice
Toggle on Single Line Invoice to hide the itemized breakdown.
Add a description explaining the invoice total.
Apply a discount if needed.
Single line invoices are helpful when you want simplified client-facing billing while keeping internal service detail standardized.
Preview and Save the Template
Click Preview to review the invoice layout.
Click Save and choose one:
Team — Anyone on your team can use the template.
Private — Only you can use the template.
Draft — Save without publishing to finish later.
Click the 3 dot icon on the template to:

Apply an Invoice Template to an Invoice
Start a New Invoice
Click the Global Plus (+) icon > Invoice
Or navigate to Billing > Invoices > Create Invoice.
Select Single Invoice.
Apply the Template
Click Template.
Select the template you want to use.
Click Confirm.
Link the Client
Select a Client or Client Group.
If linking a client group, select which client should receive the invoice.
Review and Finalize
Make any necessary adjustments to the invoice.
Click Preview to review the final version.
Choose how to complete the invoice:
Send — Finalize and send to the client.
Create and Save — Finalize and save without sending.
Create and Download — Finalize and download a copy.
Create and Print — Finalize and print a copy.
Template Visibility Options
When saving a template:
Team templates support firm-wide standardization.
Private templates are useful for specialized workflows.
Draft allows you to build templates before rolling them out.
Choose visibility intentionally to maintain billing consistency across your team.
Best Practices
Create templates for recurring services (monthly, quarterly, annual).
Use pre-built Service Items to maintain pricing consistency.
Review grouped vs. separated line item settings based on how detailed you want client invoices to appear.
Standardize payment terms firm-wide to reduce collection delays.
