How Do I Use Multi-Select and Bulk Actions on Files?

Multi-Select & Bulk Actions

Multi-select lets you select multiple files or folders at once and apply an action to all of them — it does not apply to files across different clients in a single action.

Required: Available to all Canopy users with access to Files.

Why it matters: When you need to move, download, or share a batch of client documents at once, bulk actions cut the time spent repeating the same action file by file — useful when organizing end-of-season uploads or preparing a set of documents to share with a client.

Select Multiple Files or Folders

Multi-select works the same way in Global Files, Client Records, and search results.

  1. Click the checkbox to the left of the first file or folder you want to select.

    • To select all visible files at once, click Select all above the file list.

  2. Continue selecting additional files or folders.

    • Use Shift + Click to select a continuous range.

    • Use Command + Click (Mac) to select multiple non-adjacent items.

    • Use Command + Shift + Click (Windows) to select all items at once.

  3. Bulk action buttons appear in the toolbar at the top right of the file list once a selection is made.

  4. You can also right-click the selection or click the three-dot menu inline with the selected files to access the same actions.



Bulk Actions on Files

When to use this: You have multiple files selected and need to act on all of them at once.

The following actions are available when multiple files are selected:

  • Download — Download all selected files at once.

  • Move — Move selected files to a different folder or client (within the same client group).

  • Share file — Share selected files with contacts or team members.

  • Make visible to client — Make all selected files visible in the client portal.

  • Combine files — Merge selected files into a single document.

  • Archive — Archive all selected files.

  1. Select the files you want to act on.

  2. Click the desired action in the bulk action toolbar, or right-click the selection and choose from the menu.

  3. Complete any additional steps in the dialog that appears.

    • For Move, select the destination folder or client, then click Move Here.

    • For Share file, add recipients and an optional message, then click Send.

    • For Combine files, confirm the file order and output name before saving.



Bulk Actions on Folders

When to use this: You need to act on multiple folders at once rather than individual files.

The following actions are available when multiple folders are selected:

  • Download — Download all selected folders.

  • Move — Move selected folders to a new location.

  • Archive — Archive all selected folders.

  1. Hold Shift while selecting multiple folders.

  2. Click the desired action in the bulk action toolbar, or right-click the selection and choose from the menu.

  3. Complete any additional steps in the dialog that appears.

📝 Note: Right-clicking a single folder gives you additional options not available in bulk: Rename, Folder Access, and Retention Rule.



Make Multiple Files Visible in the Client Portal

When to use this: You've uploaded a batch of files and need to make them all visible to the client at once.

  1. In a client record, go to the Files tab.

  2. Select the Files you want to

    • Alternatively, click the checkbox on each file individually.

  3. Right-click the selection and choose Make visible to client.

    • Or select Make visible to client from the bulk action toolbar.

📝 Note: Files are not automatically visible to clients when uploaded. Each file must be made visible either individually or in bulk before the client can see it in their portal. For more on managing client portal visibility, see How do I manage file visibility in the Client Portal?.

Multi-select is available in Global Files, Client Records, and search results — select files or folders using checkboxes, keyboard shortcuts, or Select all, then apply bulk actions from the toolbar or right-click menu.
