Why it matters: Files need to be assigned to the correct client records. The agent uses intelligent matching to do this automatically, but your review ensures nothing landed in the wrong place before the migration finalizes.

Access the Folder Matching Page
Go to Files > File Migration.
Only users with admin permissions can access this page.
You'll see a list of all the folders from your upload, their assigned locations, and confidence levels for each match.
Understand the Folder Matching Information
Each row shows how a folder from your source system will be organized in Canopy. Here's what each column means:
Folder Name — The name of the folder from your original file system.
Assigned Location — Where the files will go in Canopy:
Client record — We're confident this folder matches a specific client in Canopy.
Internal Files — Either multiple client records could match this folder, or no similar client record exists. Files will be organized by folder name here and can be moved to a client record later.
Smart Match — Shows how confident the system is in the match:
Dark blue — 75%+ confidence. This is a solid match.
Light blue — 50–75% confidence OR multiple possible matches. Review these carefully.
Grey — No matching client record found. Files will go to Internal Files.
Files Received — A count of how many files were uploaded for this folder (if your source system provides this). A green dot appears when all files have arrived.
Review and Correct Your Folder Matches
Compare each Folder Name to its Assigned Location to verify the match is correct.
Prioritize light blue and grey matches — Focus your review on folders with less than 75% confidence.
These are the ones most likely to need correction.
If a match is incorrect:
Click the dropdown in the Assigned Location column.
Search for the correct client name.
Select the right client record.
If a folder should go to a specific client but no client record exists yet:
Create that client record in Canopy first.
Return to this page and reassign the folder using the dropdown.
📝 Note: Folders assigned to Internal Files will remain organized by their original folder structure. You can move them to a specific client record at any time after the migration completes.
Finalize Your Migration
Optional — Preview the file structure:
Select a folder row to preview how files and folders will appear on the client record after migration.
Note: You won't be able to view the actual files at this step — this is a preview of the folder structure only.
Once you're confident all folder matches are correct, notify your Data Migration Specialist immediately.
Confirm that all folders are assigned correctly.
Let them know you're ready to finalize the migration.
Your Data Migration Specialist will complete the final move and provide instructions for your next steps.
