Resolve Duplicate Contacts
Canopy automatically scans your contact list for potential duplicate contacts and lets you merge them into a single record.
Duplicate contacts can split billing history, communication, and documents across multiple records for the same person. Merging them keeps each client's information accurate and complete — especially important heading into tax season.
Permissions: Requires the Create and Edit Clients and Contacts permission.
Table of Contents
Find Potential Duplicate Contacts
Navigate to Clients > Contact List.
Click the three-dot icon in the upper right corner.
Select Find Duplicate Contacts.
If no potential duplicates appear, click Scan for Duplicates.
Review and Merge Duplicates
For each potential duplicate that appears, choose whether to dismiss it or merge it.
Click Not a Duplicate to remove a contact from the list, or click Review + Merge to combine the records.
If more than two contacts appear in the merge window, click the checkbox on any contact card to exclude it from the merge.
Use this when contacts have similar names or details but aren't actually the same person.
Click Next.
Click the circle in the upper left corner of the contact card you want to keep as the main contact.
The main contact's info takes precedence. Any missing fields are filled in using info from the other contact(s).
Review the details on the Review & Confirm page.
Click Confirm Merge.
Merged contacts are automatically removed from the potential duplicate list.
Summary
Canopy's duplicate contact finder scans your contact list and flags likely matches for review. Merging duplicates keeps each client's billing, communication, and document history consolidated under one accurate record.
