How Do I Create and Use Client Request Templates?

Client Request Templates help standardize information requests sent to clients and can also be embedded inside Task Templates to automate workflows.

Required Plan, License, and Permissions:

  • Access to Templates

  • Permission to create or edit Client Request Templates

  • Admin permissions required to edit all templates (staff can edit only those they created)


Using Client Request Templates ensures consistent communication, automated reminders, and fewer manual follow-ups—especially for recurring workflows like tax returns or document collection.

Create a Client Request Template

To create a new template:

  1. Click Templates.

  2. Select Client Request from the slide-in menu.

  3. Enter a Name for the template (e.g., “Send Forms”).

  4. Select a Due date.

  5. Configure Client reminders:

    • Choose which days reminders should be sent.

    • Select the duration from the For dropdown menu.

  6. (Optional) Add Automation:

    • Select a condition (e.g., When request status is “Needs Review”).

    • Select an action (e.g., Send team member notification).

    • Choose who should be notified (e.g., All team members assigned to the request).

  7. (Optional) Add a File:

    • Attach an existing file, or

    • Upload a new file.

  8. Add Instructions in the description field to guide the client.

  9. Click Save.

As you build the template, a workflow map will display showing the due date and reminder cadence.

Best Practice: Include clear instructions in the description field (e.g., list specific forms needed). This reduces back-and-forth during busy seasons.


Edit a Client Request Template

Admin users can edit all Client Request Templates.
Staff users can edit only the templates they created.

To edit a template:

  1. Go to Templates > Client Request.

  2. Click the three-dot (More options) icon next to the template.

  3. Select Edit.

  4. Make the necessary updates.

  5. Save your changes.



Apply a Client Request Template to a Request

Once created, templates can be applied when sending a Client Request.

  1. Click the Global + button.

  2. Select Create Client Request.

  3. Click the Template dropdown.

  4. Select the desired template.

  5. Complete any remaining details.

  6. Send the request.

This ensures consistent due dates, reminders, files, and automation rules.



Add a Client Request Template to a Task Template

Client Request Templates can also be embedded within Task Templates to automate standardized workflows.

This is especially useful for recurring processes like tax returns, where you consistently request the same documents or signatures.

To add a Client Request Template to a Task Template:

  1. Click Templates.

  2. Select Task Templates.

  3. Locate the relevant task template.

  4. Click the three-dot icon and select Edit.

  5. Scroll to the bottom of the workflow.

  6. Click Add a Client Request.

  7. Click Apply Template.

  8. Select the desired Client Request Template.

  9. Save your changes.

The Client Request will now trigger as part of the task workflow sequence.



Troubleshooting

Template does not appear in dropdown

  • Confirm it has been saved.

  • Verify you have permission to access the template.

Automation is not triggering

  • Confirm the correct condition and status were selected.

  • Ensure the request status changes match the automation rule.

Staff cannot edit a template

  • Only Admin users can edit all templates.

  • Staff can edit only templates they created.
