How Do I Add Subtasks and Client Requests to a Task?
Subtasks and client requests help you break down work into clear, trackable steps within a parent task.
Subtasks organize internal workflow stages, while client requests collect information directly from clients. Together, they create a structured, deadline-driven process.

Add Subtasks
Subtasks are individual steps within a parent task. They work best when organized in a logical sequence.
To add a subtask to an existing task:
Go to the Client Record.
Click the Tasks tab.
Open the task you want to update.
Scroll to the bottom of the Task Workspace.
Click Add Subtask.
Enter a Subtask Name.
(Optional) Assign a team member, set priority, or add details.
Click Create Subtask.
Only a name is required to create a subtask. You can edit additional details later.
Example: Monthly Bookkeeping Task
Possible subtasks:
Gather Info
Manage Monthly Transactions
Reconcile Accounts
Share Reports with Client
To reorder subtasks:
Click and drag the handle next to the subtask.
Drop it into the desired position.
Reordering helps maintain workflow accuracy if your process changes.
Use Relative Due Dates
Relative due dates allow tasks and subtasks to trigger deadlines based on status changes.
This helps create connected workflows instead of static due dates.
Example: Set a Parent Task Due Date Based on a Subtask
Open the Parent Task.
Add or confirm a Due Date.
Click to add a Relative Date.
Select 3 Days.
Choose After.
Select Status Change Event.
Choose the subtask (for example, Reconcile Accounts).
Select the status (Completed).
Click Add Relative Date.
Now, the parent task due date is automatically set 3 days after the selected subtask is completed.
Best Practice: Create subtasks first, then build relative due dates. This makes workflow connections easier to manage.
Add Client Requests
Client Requests allow you to collect information directly from clients within a task.
To add a client request:
Open the parent task.
Click Add Client Request.
Enter a Request Name.
(Optional) Add priority and description.
Set a Due Date.
Set a Reminder Frequency.
Click Send Now to email the request to the client, or save as draft.
Once created, the client request appears as a nested item within the task.
View and Manage Active Tasks
From the Client Record, tasks appear in a collapsible view.
To expand subtasks and client requests:
Click the dropdown arrow next to the parent task.
To adjust your view:
Select Show All Subtasks to expand everything.
Collapse to view only high-level tasks.
You can also edit task details directly from this view:
Start Date
Due Date
Assigned Team Members
Priority
Click the column you want to update.
Make your changes.
Subtasks and client requests stay nested under the parent task, keeping workflows organized and visible.
Summary
Subtasks and client requests allow you to:
Break large tasks into structured steps
Create connected workflows using relative due dates
Collect client information within the same task
Maintain visibility from the Client Record
Setting up subtasks thoughtfully makes deadline automation and workflow management significantly easier.
