Manage Files in the Mobile App

Before you begin:
Make sure you've downloaded the Canopy app on your preferred mobile device to manage files through the app.


Why it matters

  • Access, upload, and organize files directly from your mobile device.

  • Manage client and internal documents without needing desktop access.

  • Keep your document management workflow mobile, fast, and secure.

Search Files

Note: You must have access to the client record to search for their files.

  1. Log into the Canopy mobile app and tap Files.

  2. Choose a file category:

    • Client Files

    • Internal Files

    • My Files

  3. Tap the Search bar.

  4. Enter a search term for any folder or file.

    • You can search by file name or file type.

  5. Tap a folder or file name to open it.

    • Tap a file to preview, or tap the three-dot icon for additional file management options.


Add a File

  1. Tap Files in the Canopy mobile app.

  2. Select one of the following:

    • Client Files

    • Internal Files

    • My Files

  3. Depending on the location:

    • In Client Files, tap the plus icon (+) in the upper right corner.

    • In Internal Files or My Files, tap the blue Files button in the lower right corner.

  4. Select an upload method (for example, from your phone’s storage or a cloud service).

  5. Select files and rename if needed.

  6. Tap Done to upload.

  7. Tap View in the upload confirmation popup to preview your file(s).



Scan a Document

You can upload files to Canopy by scanning them with your phone camera.

  1. In Client Files, Internal Files, or My Files, tap the Add File button.

  2. Tap Scan with camera.

  3. Use your device’s camera to capture the document.

    • Adjust the blue scan box as needed.

    • Tap the checkmark or shutter icon to confirm.

    • The image will appear in the lower-left corner, where you can retake if needed.

  4. Continue scanning additional pages as needed.

    • Tap Save (x) when finished.

  5. Enter a file name and tap Done.


Preview and Share Files

From the preview screen, you can share, export, archive, or (if applicable) print a file.

  1. Log into the Canopy mobile app and tap Files.

  2. Tap a file to view.

    • If the file can’t be previewed in Canopy, you’ll be prompted to Export it to view externally.

    • Tap and hold (long-press) a file to quickly preview the first page without opening it fully.

  3. Tap the Options icon for available actions.

  4. Select an option such as Share, Export, or Archive.

Note:
You can now preview password-protected files in the mobile app.
When prompted, enter the password each time you open the file.


Create a New Folder

  1. Log into the Canopy mobile app and tap Files.

  2. Choose from:

    • Client Files

    • Internal Files

    • My Files

  3. Tap the Add Files button.

  4. Tap Create new folder.

  5. Enter a folder name.

  6. Tap Done to create the folder.


Organize Files Into Folders

Move files between folders to keep your workspace organized.

  1. Go to Files in the Canopy mobile app.

  2. Tap the three-dot icon next to the file you want to move.

  3. Select one of the following:

    • Rename – edit the file title.

    • Move – move the file to another folder.

  4. Tap Move.

  5. Select the destination folder.

  6. Tap Move here to confirm.
