How do I Pre-Fill a Questionnaire using AI?

AI Questionnaire Pre-fill automatically suggests answers using data from the client record, including contact info, notes, and uploaded files (like W-2s or tax docs).

This feature only works on newly created questionnaires and must be toggled on in Experimental Features.


Required Plan, License, and Permissions

Available to users with access to Questionnaire features. Ensure Experimental Features are enabled.

Save time and reduce client back-and-forth by pre-filling organizer responses based on existing client data—especially useful during busy seasons.

Send a Questionnaire

  1. Follow this article to send a Questionnaire to a contact.

  2. Ensure the questionnaire was created after AI Questionnaire Pre-fill was enabled—older questionnaires won’t support this feature.

Note! After sending a Questionnaire, the AI Pre-Fill tool may take a few minutes to process your contact’s data. Wait a few moments before using AI Pre-Fill to ensure it's ready.


Open the Questionnaire Task

  1. Go to the client record and click the Tasks tab.

  2. Find and click on the questionnaire task to open it.

    • Alternatively, use the global task list to search for the task name.

  3. Inside the task, click View to open the questionnaire organizer.

Pre-Fill Options

Once the Questionnaire is open, a pop-up will appear with two options:

  • Pre-fill all – instantly autofills all suggested fields.

  • Fill out manually – opens the form with per-page and per-field suggestions.


If you choose Pre-fill all:

Heads up: Pre-fill answers will only work for built-in Questionnaire questions. Custom questions you create won’t be pre-filled.

  • Fields throughout the questionnaire will be automatically populated where applicable.

  • A number appears next to Pre-fill all to indicate how many fields are filled (e.g., Pre-fill all (125)).

  • You can navigate between sections at any time to review and edit answers.

  • To remove all pre-filled answers on a page, click Clear responses at the top of the Questionnaire.

  • If you’ve removed responses and want to re-apply the auto-fill, click Add responses at the top of the page.

  • To clear an individual pre-filled field, click the x next to it and enter a new answer.


If you choose Fill out manually:

  • Each page includes a button at the top: Add responses (x) to fill in that section.

  • Individual fields will also show autofill suggestions below them—click to apply.

Click Save in the upper-right corner to confirm any changes.

Reminder: Clients can still access and update their questionnaire responses until the task is marked as Completed.


Troubleshooting

  1. If the pre-fill pop-up doesn’t appear:

    • Confirm the questionnaire was created after enabling AI Questionnaire Pre-fill.

    • Check that Experimental Features are still toggled on in Settings.

  2. If expected fields aren't populating:

    • Ensure relevant data (e.g. W-2s, contact info) exists in the client record or files section.

  3. Try closing and reopening the organizer if autofill options don’t display as expected.

  4. Try archiving the Questionnaire task and resending it to the contact.


Summary

AI Questionnaire Pre-fill streamlines data entry by using client records and uploaded documents to pre-populate responses. It’s currently in Beta and available for new questionnaires only. Use the full pre-fill option for speed or fill manually for more control—either way, edits are always possible.
