How do I Save, Edit, and Share a filtered Tasks List?

Saved filter views let you create customized task lists for specific workflows, such as tracking tasks due this week, managing review-stage items, or monitoring client-specific work. This can help your firm stay on top of deadlines, delegate effectively, and reduce time spent navigating the task lis

Available for users with access to the Tasks feature. Permissions to view and manage tasks are required.

Create and Save a Filtered Task List

  1. Click the Work tab in the global navigation bar, then select Tasks List from the menu.

  2. In the task list, click a column header to filter by that column.

    • Select filter values or conditions, then click Apply.

  3. Once one or more filters are applied, click Save Filter.

    • Select Save as new filter view to create a new saved list.

  4. Enter a name for the saved task list, then click Save.


Change Columns in a Saved Task List

  1. Click the three-dot icon in the upper right corner of the saved list view.

  2. Select Customize task list.

  3. In the Customize columns tab, choose the saved task list you want to modify.

  4. Under Task Attributes, select or deselect the columns you want displayed.

  5. Under Date Columns, you can add a custom date column:

    • Click Add a custom date type and select an option (custom dates must be pre-created from a task template or task).

    • Click Done to add the custom date type.

  6. Click Save and Close.

Tip: To change and save your task list filters, adjust the filters, click Save filter, then choose Update existing filter view.


Share, Hide, Duplicate, or Delete a Saved Task List

  1. From the Customize task list menu, click the Reorder filter views tab on the left side of the pop-up.

  2. Click the three-dot icon next to the saved task list and choose an action:

    • Rename – Change the list name.

    • Share list – Share with other team members.

    • Hide filter view – Make the list invisible.

    • Duplicate – Create a copy.

    • Delete – Permanently remove the list.

  3. Click Save and Close when finished.


Troubleshooting

  • Saved filter option not visible? Ensure you have at least one filter applied before trying to save.

  • Can’t find your saved view? Check if the filter view is hidden in the Reorder filter views tab.

  • Custom date not available? Create it first in a task template or directly on a task before adding to the saved list.
