How do I upload files using the ToCanopy tool?

Run Canopy's ToCanopy tool to upload your organized client folders into Canopy for migration.

Required: Windows computer; client folders organized in a single directory; downloaded ToCanopy tool.

Before You Start

  • Your client folders are organized correctly — Each client has their own folder containing all their files, and all client folders are in the same parent directory (see "How do I prepare for my file migration?" if you haven't organized your folders yet).

  • You've downloaded the ToCanopy tool — Download tocanopy.exe from this link.

    • You may need to adjust your security settings to download and open the file.



Download and Run the ToCanopy Tool

  1. Find the tocanopy.exe file (usually on your desktop or in your Downloads folder).

  2. Double-click the icon to run the tool.

  3. A command window will open and prompt: "Work directory for migration files"

    • Press Enter to accept the default directory.

    • Do not enter a new file path here unless your Data Migration Specialist instructs you to.


Enter Your Credentials and File Path

  1. When prompted, enter the three pieces of information your Data Migration Specialist emailed to you:

    • Tenant ID

    • Upload ID

    • Upload Secret

  2. When prompted, enter the file path containing your client folders.

    • Example: C:\Users\YourName\Documents\Clients or \\NetworkDrive\ClientFolders

    • This is the parent directory where all your client folders are located.

  3. Press Enter to start the upload.

The ToCanopy tool will begin uploading all folders and files from the directory you specified.


Monitor Your Upload

While the upload is running:

  • Monitor the progress in the command window — you'll see files being uploaded.

  • In Canopy, you'll begin to see your folders appear in the Files section as they're uploaded.

  • Do not move or change files during the upload, as this can interfere with completion.

  • Leave the tool running until it completes. Depending on your file volume, this may take several hours or longer.

Once the tool finishes and closes, notify your Data Migration Specialist immediately so they can verify the migration and provide next steps.


Troubleshooting

If you have multiple containing folders:

If your client folders are split across different directories (e.g., "Clients A-D" and "Clients E-M"):

  1. Run the ToCanopy tool once for the first directory (following the steps above).

  2. Once complete, run the tool again for the second directory.

  3. Repeat for each directory containing client folders.

To stop the tool:

If you need to pause or stop the upload for any reason:

  1. Click inside the ToCanopy command window.

  2. Press Ctrl + C.

  3. The tool will finish its current task and then exit cleanly.

If the tool stalls or crashes:

  1. Restart the tool by double-clicking tocanopy.exe again.

  2. The tool will resume from where it left off.

  3. If the tool continues to crash or doesn't restart properly, contact your Data Migration Specialist immediately for assistance.
