How do I set up Canopy Coworker with Onboarding?

Coworker Onboarding is a page of short topics where Coworker learns your role and how your firm works, so its answers, drafts and suggestions fit the way you work.

Required: Available on the Standard, Plus and Premium plans, to anyone with the Coworker permission.

👉 Beta: Coworker is in open beta. Turn it on in Settings > Experimental Features > Canopy Coworker.

Why it matters: Coworker starts from what Canopy already knows about your role and your firm's services, so setup takes a few short conversations instead of a long questionnaire. What you confirm here shapes every session after it, and onboarding doesn't use credits.

Start Coworker Onboarding

  1. Click Coworker on the global navigation bar.

  2. Under Coworker Setup, click Start on the Personal Onboarding card, or Continue if you've already begun. The Coworker Onboarding page opens.

  3. Under Your role at the firm, check the role card. Coworker fills it in from your role in Canopy.

    • If it's wrong, click Edit role and correct it.

  4. Next to Groundwork, click Start.

  5. Confirm or correct what Coworker already knows about your responsibilities, your firm's services and how your year runs.

Open Coworker Onboarding from the Personal Onboarding card and start Groundwork

Work Through the Topics

Each topic is a short conversation, and the topics unlock in order. Coworker Set up shows your progress, such as 4/7 complete. A firm admin sees these topics; the list is tailored to your role, so yours may differ: some see Capacity & workload distribution in place of Engagements & deadlines.

Topic

What Coworker asks about

Groundwork

Your responsibilities, your firm's services, and how your year runs.

Document collection

How you track what clients still owe you, and what happens when it arrives.

Client communications & tone

How you write to clients, who reviews it, and what Coworker can send for you.

New client intake

What has to happen when a new client signs on.

Engagements & deadlines

How you spot work that's slipping, and what counts as at risk.

Billing & receivables

How you invoice, and when an unpaid bill becomes a problem.

Reporting & internal requests

What you pull together for the team, and how often.

To complete Onboarding:

  1. Answer Coworker's questions in the topic.

  2. When the topic is done, the next one unlocks. Click Start next to it.

  3. To skip a topic for now, skip it and move on to the next.

    • Leave the page whenever you need to. Your progress is saved, and you can come back to any topic later.

✅ Good to know: Coworker saves what it learns as memories, which you can review in Settings > Coworker Settings > Memories. It may also suggest automated jobs for work you repeat. Each one waits for approval before it runs.

Change an Answer Later

  1. Click Coworker on the global navigation bar and open Coworker Onboarding.

  2. Reopen the finished topic and correct your answer.

To change a single fact without reopening a topic, edit the memory in Settings > Coworker Settings > Memories, or tell Coworker in a session, such as Remember that Joe handles our complex returns.

Decide Who Completes Which Topics

Every team member with Coworker has their own onboarding page, with topics for their role.

✅ Best practice: Have one admin or firm leader complete the firm-wide topics, such as Billing & receivables and Engagements & deadlines, before the rest of the team starts. Firm-wide memories then come from one person, without conflicting answers.

Troubleshooting

A topic says Locked:

  • Topics unlock in order. Finish or skip the topic above it.

Coworker keeps asking follow-up questions:

  • Skip the topic and come back to it later.

Coworker's answers don't reflect my role:

  • Check the role card at the top of the onboarding page and click Edit role to correct it, then reopen Groundwork.

Summary

Open Coworker, confirm your role, then work through the onboarding topics in order, skipping any you want to come back to. Onboarding doesn't use credits, and you can reopen a finished topic or edit a memory whenever your answers change.
