How Do I Invite Clients to and Use the Client Portal?
The Client Portal is how you securely exchange files, client requests, eSignatures, and other information with your clients.
Why This Matters
Inviting clients to the Client Portal early helps streamline onboarding, reduce back-and-forth emails, and keep sensitive information secure. Clients must be invited by email to gain access—portals cannot be created by clients on their own.

Send Client Portal Invitations
You can invite clients to the portal individually from the client record.
Send an Individual Invitation
Click Clients.
Select Client List.
Select the client.
Click the + icon next to Client Portal.
Select the client by checking the box.
(Optional) Add additional people.
Add a personalized message or select a template.
Click Send.
The client receives an email inviting them to create their portal login.
Monitor Invitations
Click the client’s name under Client Portal to see:
When the invitation was sent
Options to resend or remove access
Heads-Up
Portal users do not need to be active or billable clients.
You can invite:
Spouses
Additional contacts
Individuals not listed as clients
This allows non-billable contacts to complete portal to-dos and upload information.
Send Bulk Client Portal Invitations
You can invite multiple clients at once.
Send Bulk Invitations
Click Clients in the global navigation.
Select Manage Client Portals.
Filter by Without client portals.
Use the top checkbox to select all clients.
Click Send Invite.
What Clients See in the Portal
Client Login Experience
Clients receive an email with a secure link.
They create a password and accept the Terms of Service.
After logging in, clients land on the Home tab.

Include a link to client portal help resources in your onboarding email so clients understand how to use the portal effectively.
Security Best Practices for Clients
We strongly recommend clients enable two-factor authentication (2FA).
Clients can enable 2FA by:
Opening User Settings in the portal.
Scrolling to Authentication.
Choosing:
Email
Text message
Authenticator app (via QR code)
Good to Know
Authentication is required every 30 days.
Email is the default method, but clients can switch to text or an authenticator app.
Share Files in the Client Portal
The Client Portal allows you to securely share files with clients.
Share Files With Clients
Open the Client Record.
Click Files.
Click Upload.
Select your file(s).
Toggle Visible to Client in the upload window.
You can also:
Toggle visibility later using the person icon in the file list.
Client File Access
Shared files appear:
In the client’s Files tab
On the Home tab under recent files
Send Documents for eSignature
Once a client has portal access, you can send files for electronic signature.
Send an eSign Request
Open the Files tab in the client record.
Right-click the file.
Select eSign Request.
Place required fields:
Signature
Initials
Date
Assign recipients.
(Optional) Rename the file.
Add a due date and reminder.
Edit the message if needed.
Click Send Now.
What Happens Next
All signers receive an email with a secure link.
Clients with portal access can also complete the request inside the portal.
A task is automatically created.
View and manage it under the Tasks tab in the client record.
