How-to Video: Preparing Client Portals

Updated today

How Do I Invite Clients to the Client Portal?

Invite clients to the Client Portal so they can securely exchange files, complete requests, and view billing information.

Why This Matters

The Client Portal is the primary way to securely collaborate with clients in Canopy. Clients cannot create their own portal accounts—they must be invited using an email address on file.

Table of Contents

Invite a Client to the Client Portal

  1. Navigate to Clients > Client List, then select the client.

  2. In the left-hand panel, click the + icon next to Client Portal.

  3. Confirm the client and email address shown in the invitation window.

  4. (Optional) Add another individual’s email address to grant them portal access.

  5. (Optional) Add a personalized message or select an email template.

  6. Click Send Invite.

Tip: You can invite individuals who are not active or billable contacts, as long as they have an email address.

What Clients See After Accepting an Invitation

After receiving the invitation email, the client will:

  1. Click Create Account in the email.

  2. Set a password using the email address the invitation was sent to.

  3. Log into the Client Portal and land on the Home tab.

From the portal, clients can access:

  • To-do – Tasks assigned to them

  • Files – Files shared with or uploaded by them

  • Billing (if enabled) – Invoices, balances, and payment history

Clients can upload files from the Files tab by selecting Add a File.

To manage their profile or find help resources, clients can select their initials in the bottom corner and open User Settings.

Add Additional Contacts to a Client Portal

If a client has linked contacts—such as spouses, partners, or family members—you can invite them to the same portal.

  1. Open the main client’s record.

  2. Click the + icon next to Client Portal.

  3. Review the list of linked contacts shown in the invite window.

  4. Confirm each contact has an email address.

  5. Send the invitation.

Important: Linked contacts do not need to be active or billable to access the Client Portal. This allows them to complete portal to-dos or upload documents as needed.

Send Client Portal Invitations in Bulk

  1. Click Clients in the global navigation bar.

  2. Select Manage Client Portals.

  3. Filter by Without Client Portal.

  4. Select multiple clients.

  5. Click Send Invites.

Note: Bulk invitations can only be sent to clients with an email address on file

Summary

  • Clients must be invited to access the Client Portal.

  • Invitations are sent using the client’s email address on file.

  • Additional contacts can be invited, even if they are not billable.

  • Bulk invites make onboarding faster for multiple clients.
