Adding a new Notice in Canopy is simple. Notices can be added by using the global add icon in Canopy.

Add a Notice From the Global Add Button

You can add a notice for any contact in Canopy without disrupting the rest of your work.

1. Click on the Global Add Button.

2. Choose Notice on the slide-in menu.

3. Click the Client field.

  • Search for a Client in the search bar.

  • Select a client.

If you need to create a new client, select "New client" and fill in the applicable information such as Client Name, First name/Last name, SS#, Email

4. Click the Notice Type field.

  • If needed, type a search for a Notice Template in the search bar.

  • To edit a notice template, refer to the Using Notice Templates article.

  • Select the applicable option.

5. Click the Assignee(s) field.

  • Type a search for the team member you wish to assign to this notice.

  • Select the applicable name.

  • Click Done.

6. Click the Due Date field.

7. Enter a value in the Budget hours field.

8. Select a Priority in the drop-down.

9. Use the text box to enter a description.

Most notices come with their own description but you may want to add additional notes here.

10. Toggle on Tax preparation fields if needed.

11. Click Create and manage or Create and close.

The Notice will display on the Tasks list and in the Tasks tab of the clients profile.

Manage Notices From the Tasks List

Notices are displayed on the Tasks Dashboard. All of the information associated with a notice created in Canopy can be viewed from the tasks dashboard. From this dashboard, you can update the status of a notice, view the notice’s progress, and archive notices.

Update Statuses from the Tasks List

1. Click Work on the global navigation bar and choose Tasks list.

2. Filter the tasks list by Task Type to only view notices.

  • Click Task Type.

  • Choose Notice from the filter menu.

  • Click Apply Filter.

3. Click the Status of a notice.

4. Select or search for a status option.

  • Options can include No Status, Not Started, In Progress, Review, On Hold, or Completed.

  • Select Add Custom Status to customize a status for your needs.

    • Enter a name for the status in the text box provided.

    • Slide the color scale to select a color for the status.

    • Click Done.

5. Edit the Notice by clicking the blue link under the Notice title.

Print Notice Files

If needed, you can print a notice.

1. Open Notice and click the Files tab

2. Click the options menu in-line with the relevant file

3. Select Print file

Print Edited Notice Files

You can print files in notices after editing them.

1. Go to a Notice and click on the options menu in line with a relevant file.

2. Choose Edit file from the drop-down menu.

3. After making edits, click the Print icon.

Navigate the Notices Workspace

Managing work can be overwhelming at times. Managing notices includes meeting deadlines and switching between projects, depending on when clients provide needed items. This happens all while trying to provide better customer experiences. The notice workspace redesign is easier when viewing, updating, accessing, and collaborating on each notice and will save your firm time.

To get started, navigate to any notice's workspace.

Timers

Track your time by starting new timers and adding time entries in the notice workspace.

Priority

Manage priority levels from the notice workspace.

Status

Manage the status of parent tasks within the notice workspace.

Edit/Archive

Edit or Archive the parent task within the notice workspace.

Confirm this action by clicking Archive in the Archive notice? window that pops up.

Add Team Members

Progress Chart

Work Tab

Manage aspects of subtasks in this area. This is where you can Add assignees, Request a transcript, Add a tool, Add a client request, and Add a subtask. Reorganize subtasks in this area as well.

Files Tab

Add new, existing, and editable (.docx) files to associate directly with a parent task. Any file attached to a subtask itself will populate in this tab. You can also choose to Remove from task, Edit file, eSign Request, Download file, Print file, and Save to files in this area.

Notes Tab

View details of existing internal notes from team members as well as add a note or edit/archive from this space. Any note added to a subtask itself will also populate in this tab.

Transcripts Tab

View details of existing transcripts and Request transcripts from this tab

Forms Tab

View existing forms in this tab of the notice workspace. This is where you can also Edit form, Download form, Print form, and Remove form from task. Any forms added to a subtask itself will not populate in this tab.

Comments

Collaborate with team members in the Comments slide out of the notice workspace. Here you can attach files, send GIFs/images, and @mention team members. You can also easily collapse and expand the area by clicking on the comment feed icon.

View Archived Notices

Archived notices can be viewed from the tasks list. It may be helpful to filter the tasks list to find an archived notice faster.

1. Click on the options menu.

2. Choose Archived tasks from the dropdown menu.

3. If needed, search for an archived task in the provided search box.

4. Click Move to active for all applicable notice tasks.

5. Click Done
