π‘ Beta: Timesheets is available as an Experimental Feature. Ask your firm admin to enable it in Settings > Experimental Features.
Timesheets gives you a weekly grid view of all your time entries so you can log, review, and edit an entire week of time from a single screen. Time entries created in the timesheet appear in your Time Entries list β and entries added or tracked outside the timesheet appear automatically in the timesheet for the corresponding week.
Why it matters: If your team logs time across multiple clients each day, the individual time entry modal quickly becomes a bottleneck. Timesheets replaces that with a spreadsheet-style grid β one row per client and service, one column per day, daily and weekly totals always visible β so you can log an entire week and save everything in one click.

Navigate to Timesheets
Go to Time > Timesheets.
The timesheet defaults to the current week (SundayβSaturday) for the logged-in user.
Click the settings icon in the upper-right corner to configure timesheet days.
To view a different week, use the week navigation arrows at the top of the timesheet.
To view another team member's time, use the user dropdown and select their name.
This list only shows users you have permission to view.
If you have View Team Time Entries but not Edit Team Member Time, all fields in that user's timesheet will be read-only.
π Note: Your timesheet displays time in the time zone set on your Canopy user profile. To verify or update it, go to Settings > My Profile > Time Zone.
Add Time Entries
In the Timesheet, start by selecting a Client.
Fill in any additional required fields from left to right.
Required fields are determined by your firm's billing settings and may include Service Item, Task, Subtask, and Note.
Enter hours for each day of the week as needed.
Press Tab to move between fields without clicking.
In the bottom-left corner of the Timesheet, click Add Row and fill in any information needed.
Click Save.
All new entries are committed at once β nothing is saved until you click Save.
Saved entries appear in the global Time Entries list and in the client's time entries list in their client record.
If a locked time entry rule applies to your account, you cannot enter time in a locked period β an error message will appear if you try.
Check your totals.
Daily totals appear at the bottom of each day column.
Row totals appear at the right of each row.
A grand total for the week appears at the bottom right.
π Note: Time entries added from the timesheet record a start time of 12:00 AM on the selected day. If your firm uses duration calculator mode, the end time updates automatically to match the hours you enter.
How Time Entries Group in Timesheets
Timesheets and Time Entries are two views of the same data β any entry saved from a timer or the Time Entries list appears automatically in the timesheet for the corresponding week, and any entry saved from the timesheet appears in your Time Entries list and the client's record.
β
Time entries consolidate into shared rows automatically, whether logged in the timesheet or outside of it. Two entries group into the same row only when every column matches β client, service item, task, subtask, and any other required fields must be identical (or both empty) β and both entries share the same lock status.
Locked entries consolidate with other locked entries that match all columns.
Unlocked entries consolidate with other unlocked entries that match all columns.
Locked and unlocked entries never consolidate into the same row β even if all other columns match.
Click the arrow next to the client name to expand a grouped row and see the individual entries within it.
How Locked Time Entry Rules Affect Timesheets
If your firm has configured locked time entry rules in Billing Settings, those rules restrict which days are available for entry in the timesheet.
Days covered by a locked time entry rule appear without an input field β the cells are blank and cannot be filled in.
Existing entries in those cells display the logged time and a Locked label, but cannot be edited.
There is no warning message β locked cells are simply unavailable.
Users with permission to enter time during locked periods will see editable cells for those days. Staff without this permission will not β this restriction is on by default for staff permission sets.
For information on how locked time entry rules are configured, see How do I configure Timesheets settings in Canopy?
β
How Billed Time Entries Appear in Timesheets
When a time entry has been billed to an invoice, it displays a Billed label in the timesheet and cannot be edited or deleted.
Billed entries for the same client and service item group together in their own row, separate from unbilled entries.
Click the arrow next to the client name to expand the row and see the individual billed entries.
Unbilled entries for the same client and service item group together in their own separate row.
To modify a billed entry, it must be removed from its invoice first β this cannot be done from the timesheet.
Edit or Archive Time Entries in Timesheets
Click a cell in an existing row to edit the time entry duration.
Press Tab to move to the next editable cell.
To change the billable or locked status of an entry, click the 3-dot icon, then check or uncheck Billable or Locked.
To archive an entire row of saved entries, click the trash icon on the row header.
A warning prompt will appear before any entries are archived.
To archive a single saved entry, set that day cell to 0 and click Save.
Requires the Archive Time permission β if you don't have it, the field resets to its previous value.
To delete an unsaved row, click the trash icon or set all day cells to 0 before saving.
Click Save to commit all edits and archives at once.
Archived entries are not permanently deleted. Restore them from Time & Billing > Time Entries.
Troubleshooting
Timesheets doesn't appear in the Time menu
Timesheets must be enabled by your firm admin in Settings > Experimental Features.
Time entries from a timer or Time Entries page aren't appearing
Confirm you're viewing the correct user and week. Archived entries do not appear in the timesheet.
Can't edit a time cell
If the cell shows a Locked label, verify whether your permissions allow editing locked entries.
If the cell shows a Billed label, the entry must be removed from its invoice before it can be modified.
If the cell is blank and has no input field, a locked time entry rule is restricting that period β contact your firm admin if you need access.
A team member doesn't appear in the user dropdown
You may not have the View Team Time Entries permission. Ask your firm admin to review your permission set.
Time entries are displaying in the wrong time zone
Go to Settings > My Profile > Time Zone and confirm your time zone is correct.
Setting a saved entry to 0 isn't archiving it
This requires the Archive Time permission. Contact your firm admin if you need this access.
A row shows an info icon and I can't add time to it
The task linked to that row has been archived or deleted. Existing saved time is preserved, but new entries cannot be added.
β
Summary
Timesheets and Time Entries are two views of the same data β entries flow automatically between both. Navigate to Time > Timesheets, fill in your entries across the week, and save everything in one click.
